Your inbox feels unmanageable because it has no sense of priority. Modern inboxes are sorted by time, not importance, which makes it hard to know what actually needs your attention.
Fyxer is built on 500,000+ hours of real executive assistant data, which has informed seven key labels that help you surface what matters and cut through the clutter. Fyxer reads every email before you do, decides what matters, and gets out of the way for everything else, with no new tools to learn.
Here's how it works.
Origins: How six years of executive support turned into 500,000 hours of data
Fyxer's founders, Richard and Archie Hollingsworth, spent six years running Europe's largest executive assistant agency before turning that experience into Fyxer. They built the agency knowing exactly where they planned for it to lead.
"The intention behind starting the EA agency, which we did in 2016, was to use it as a platform to build the AI solution, but we recognized the technology wasn't there at the time." — Richard Hollingsworth, Co-Founder, Fyxer
Over six years, that created something almost no AI company has: a proprietary dataset of over 500,000 hours of real human EA workflows, labeled and structured around what actually matters to the people receiving that support.
That's the raw material Fyxer is built on. Logged decisions from skilled assistants triaging real inboxes for years, long before any model was trained on it.
Anyone who's worked with a great personal assistant knows the risk. When they leave, years of context go with them. What their business partner was like, how they preferred meetings scheduled, all the small preferences that meant their assistant was always one step ahead. It could take a new assistant six to nine months to rebuild that same understanding.
Knowing your context deeply is what makes a truly great assistant. Just how well they understand what you're actually dealing with. That's the idea Fyxer was built on. It learns what's actually relevant to you.
How Fyxer’s labels work in your inbox
Fyxer reads every email and labels it before you ever open your inbox. Emails that require a response are surfaced to the top. Everything else gets filed out of your main view into dedicated folders. Not deleted, just out of the way.
None of this is arbitrary. It's built on a simple pattern the data kept showing: most of what lands in a working inbox doesn't need a human decision at all.
The problem is structural, according to Assem Dikhayeva, Product Engineer at Fyxer:
"Your inbox organizes everything by time, not by priority. So you open it and you don't know where to start. 70% of emails that land in people's inboxes are automated. That's a big source of the overwhelm. Professionals spend hours a day triaging email instead of doing the work that actually matters." — Assem Dikhayeva, Product Engineer, Fyxer
Meet the seven categories of Fyxer
Fyxer assigns one category to each email. Just one, so there's no confusion about where something lives or why:
To Respond covers any email that needs a reply from you: questions, requests, decisions, confirmations. This is your active work. Fyxer also drafts a reply for emails in this category automatically, so by the time you’ve opened your inbox, a response is already waiting.
FYI is for emails you might want to read but don't need to act on: a shared document, an agenda for tomorrow, a heads-up from a colleague. No reply needed.
Notifications covers automated system emails: password resets, export confirmations, app alerts. Useful occasionally, never urgent.
To Follow Up holds threads where you've already replied and are waiting on someone else. Fyxer moves emails here automatically after you send a response, which keeps your To Respond list tidy and up to date.
Comment collects document mentions and collaborative comments from tools like Notion, Figma, or Google Docs. Worth checking, but on your schedule.
Meeting Update handles calendar-related emails: new invites, time changes, cancellations.
Marketing covers newsletters, promotional emails, and cold outreach.
For Assem, reliability is what matters most.
"The best part about labels is that they just work out of the box. Emails come in, get labeled, and whenever you open your inbox, everything's already sorted for you." — Assem Dikhayeva, Product Engineer, Fyxer
Not your average inbox LLM
A general AI chatbot can help you write an email if you paste in the thread and explain what you need. But it has no memory of your inbox and no sense of what's urgent. It won't know what happened in yesterday's meeting unless you tell it. Every request starts from zero.
Fyxer is purpose-built for your inbox and your meetings. It reads what's happening in them and acts before you've asked for anything, with no chat window to prompt and no instructions to give.
"Fyxer's not just a large language model wired up to your inbox. We've spent years developing our decision tree and our approach to personalizing this whole flow." — Assem Dikhayeva, Product Engineer, Fyxer
That decision tree is what’s doing the real work. It's built from real assistant behavior, then refined against how people actually respond to their labeled inboxes every day. A general chatbot can only guess at what "important" means, based on the request in front of it. Fyxer was built specifically to answer that question, for your inbox and your meetings, without you having to explain the context first.
That's the difference between a tool you prompt and a tool that already knows what to do. You don't copy in a thread and ask for a summary. You don't paste your meeting notes and ask for follow-ups. The inbox organizing, drafting, and meeting notes are already done by the time you open them.
It's also why Fyxer works inside the inbox you already have, with no new tools to learn and no new email clients needed. Whether you're on Gmail or Outlook, setup takes under a minute, and you're left with the same inbox, without the chaos.
Trained on your inbox, not everyone else's
A label system that never changes is just a filter. Fyxer is built to learn more about your writing style and the context behind your communications the more you use it. If it mislabels something, you correct it, and that correction feeds back into how it treats similar emails going forward. If you consistently ignore a certain sender or thread type, it adjusts to that pattern, too.
That personalization also extends to how drafts get written. A reply to a client chasing a deliverable needs a different tone and structure than an internal alignment request or a first response to a new sales inquiry. Fyxer is trained to recognize the difference and draft accordingly, pulling in context from your actual communication history rather than generating something generic and hoping it fits.
None of it requires setup from you. When you connect your inbox, Fyxer looks at your past emails to get a sense of how you write and what you prioritize, so it's not starting from zero. From there, it keeps learning from how you actually work.
What changes when your inbox is organized this way
Fyxer organizes your inbox so that only the emails that need your attention are front and center. Everything else is handled, before you've even opened your inbox.
Fyxer processed 1.4 billion emails in 2025. Marketing emails alone made up around 24% of that total, filtered before they ever reached users' main inboxes. That's the load a prioritized inbox removes from your daily view.
If you get 10 emails during a meeting, only a few might actually need your attention. Fyxer sorts the rest into notifications, marketing, and threads you’re already waiting on, so you open your inbox to see what matters first.
No more drowning in unread emails. Fyxer organizes them as soon as they arrive, so you only see what needs your attention.
FAQs
How does Fyxer decide which category an email belongs to?
Fyxer reads the content and context of each email and assigns the most relevant category. A message asking you a question goes to To Respond. An automated app notification goes to Notifications. The categorization happens automatically when the email arrives.
What happens if an email gets categorized incorrectly?
You can move it manually. Fyxer will take that feedback into account and improve over time. Nothing is locked in place.
Will Fyxer draft replies for all my emails?
Fyxer drafts replies for most emails in the To Respond category. A few things can block a draft, like an automated sender, plan limits, or a draft that already exists on the thread. When that happens, the email is still labeled correctly and ready for you to reply to directly.
What if I want to see all my emails in one view?
You can toggle all categories to OFF. Your emails will stay in your inbox with category labels applied. You'll see everything, but you'll still know at a glance which category each email belongs to.
Does Fyxer work for teams?
Yes. Each team member connects their own inbox. Fyxer learns their individual patterns, categories, and preferences separately. There's no shared inbox view, but the setup process is the same for every user.
Do I need to change my inbox settings before using Fyxer?
For most people, Fyxer works as soon as you connect your inbox. The one setting worth checking first is Conversation View. Both Gmail and Outlook work best with it enabled. Without it, threads can split across folders and categorization becomes harder to follow.
If you use Outlook and already have rules that move emails automatically, Fyxer respects those rules by default and skips those emails. You can turn this off in Categorization Settings if you'd rather have Fyxer label them too.
The same applies in Gmail. Emails you've already labeled yourself, or that Gmail filters have moved out of your inbox, are skipped in the same way.
